Title: Experience Coordinator
Department: Operations
Reports to: Operations Manager

UMBC Training Centers is seeking to hire an Experience Coordinator. This individual will be responsible for providing a superior experience to all UMBC Training Center clients and stakeholders, both internal and external. Primary job responsibilities will be staffing and managing the front desk, answering the phone and directing calls, greeting visitors and students and ensuring they have an excellent experience during their visit, providing administrative support for leadership, and other miscellaneous administrative tasks.
The ideal candidate for this position will be friendly, well-organized and obsessed with excellent customer service. We are a very busy and lean workplace with thousands of external clients, your attention to our internal and external clients will be instrumental in helping us achieve our mission every day.

Shifts Available:

1. Monday-Thursday: 7:00am-2:30pm; Fridays: 7:00am-3:30pm
2. Monday-Thursday: 2:30pm-9:30pm; Saturdays: 8:00am-5:00pm

Education Requirements:
• High School Diploma
• Project coordination/management training or experience

Qualifications & Desired Skills:
• Customer service (internal customers and external customers)
• Communicate with candor and transparency
• Concerned with driving results, not checking boxes or counting hours
• Passionate, hardworking, and well organized with the ability to prioritize many ongoing tasks
• Ability to self-manage, self-motivate, problem solve, and meet deadlines
• Proficiency with office/productivity applications – Excel, PowerPoint, Outlook, Slack
• Able to collaborate as a member of a team

Job Duties: 

  • • Answers the telephone, screens and directs calls accordingly
    • Understands our internal and external stakeholders
    • Greets and directs students and visitors entering the organization
    • Be available to students and faculty during training to help with any issues or needs.
    • Ensures knowledge of staff, student and instructor movements in and out of the organization
    • Administrative support for leadership
    • Receives, sorts and prepares outgoing and incoming mail
    • Assists with event planning and implementation
    • Monitors, maintains, and purchases office supplies and refreshments
    • Coordinates facility rentals
    • Straighten classrooms for transition from day to evening classes
    • Classroom space: set-up and break down the rooms; make sure rooms and materials are ready and presentable for class, and that after class, the extra materials are collected from the room
    • Maintains and organizes all public spaces and office storage rooms
    • Performs work related errands as requested, including: Sam’s, Costco, Office Depot, etc.
    • Maintains a safe and secure working environment
    • Vendor Management, ie: Pepsi, Pro Shred, UPS, Office Depot, Plants, Pitney Bowes, Cleaning
    Company, etc.
    • Ensures office equipment and furniture is properly maintained and serviced
